Schedule

A patient MUST have a scheduled appointment in order to access the patient's chart and to complete documentation for a visit. Scheduled visits are also how we pay you for your service once the note is signed.   It is critical to always choose correct case and visit type.

SCHEDULE OVERVIEW

To schedule a new appointment, you access the schedule from the             Icon.   You can toggle your view between day, week or month and go back to view at any time.   The Calendar Icon            will let you view your scheduled appointments.

To schedule an appointment, you can either "right click" on the desired appointment time or, on a mobile device, click and hold to Add an Appointment".  There are 3 screens to Schedule an Appointment. 

SCREEN 1: APPOINTMENT DETAILS

Patient Name

Case

WHAT IT MEANS

Begin entering by Patient Last Name to filter EMR until you locate your patient.

Cases are coded beginning with the Discipline and then the month/year of referral. For example, a patient referred for PT in April, 2019 will have a Case Title of "PT 042019".   

Appointment Type

Appointment type defines the visit, separates supervisory visits (eval/progress/discharge) from treatment visits and lets us know what to pay you.

Status

The default selection is "Scheduled" but this MUST be changed to "Arrived" in order to begin charting (see below).  Leave Status as "Scheduled" unless the patient has been seen.  Other options including No Show or Cancelled with/without Notice.  

Start/End Time

Scheduled time is your anticipated start/stop time for a visit.  Actual time that you spend with the patient can be adjusted within the Chart once you begin documentation. If Conflict appears under the time, this means that another appointment is already scheduled.

PLACE OF SERVICE IS REQUIRED

While the system states "Optional", Place of Service is REQUIRED.

 

You will not be able to sign off on the Chart Note unless this is entered.  Do NOT choose Telehealth which is for commercial tele-therapy (not E-Visits)

Appointment Warnings

If there're any issues to address, such as insurance authorizations, an Appointment Warning will appear.  You can either cancel the appointment or "Schedule" and override.  the system will not allow double-booked appointments if another therapist has already scheduled for the date/time you selected.

CHANGING APPOINTMENT STATUS: ARRIVING A PATIENT

Appointment Status defines whether the patient is scheduled, has been seen or is a canceled/no show visit. "Arriving" the patient for a visit means that the patient was seen.   Appointment Status must be "Arrived" in order to access the chart and begin documentation.

The easiest way to "Arrive" a patient for a visit is to right-click (click and hold on mobile device) and then change appointment status from "Scheduled" to "Arrived".

Once "Arrived" you can select "Open Chart" to go to the note

DOCUMENTING A MISSED VISIT

All missed visits must be documented.  Follow the steps above to access the Appointment Status and  then change the Appointment Status from "Scheduled" to the appropriate canceled appointment reason (With Notice, Without Notice or No Show).

A pop-up will appear to enter the Cancellation Reason.  Enter reason and then click "Yes" to cancel the appointment.
